Turning HubSpot Confusion Into a Scalable Revenue Engine for nvisia

nvisia is a technology consulting and software development firm offering services across product development, customer and user experience, AI and data strategy, and DevOps and platform engineering. They partner with organizations across industries to modernize legacy systems, design scalable platforms, and enable long-term ownership through full-stack engineering and advisory support. The Challenge

nvisia had been using HubSpot for some time, but their system was…messy. It lacked clarity, consistency, and confidence across teams. Data hygiene issues were creating deliverability problems, reporting gaps, and internal frustration, making it difficult to trust the platform or scale outreach effectively.

We started with a comprehensive audit and discovery of nvisia’s existing HubSpot setup and sales processes to uncover what was working, what wasn’t, and why. Key issues (poor data hygiene, low email deliverability, and inconsistent workflows) were identified right away. From there, we built a clear, prioritized roadmap to guide immediate fixes and longer-term improvements.

Fixing the Foundation: Restoring Deliverability and Data Health

Following the audit, we got to work. We improved email deliverability by cleansing the database of 15,000 non-marketing contacts, removing hard bounces, and properly categorizing contacts. These steps helped reduced nvisia’s bounce rate by 67.54% and addressed their low sender score and spam concerns, creating a healthier foundation for future marketing and sales outreach. If you’re not a numbers person, take it from their sales team. They noticed a major difference: Emails were making it into inboxes, rather than not delivering or getting caught in spam. And they weren’t just imagining those results. nvisia’s deliverability rate improved to 99.25%. Their email health score improved from 2/10 to 5/10. And we were thrilled to see those results.

From Cleanup to Conversion: Seeing Results

With a stable foundation in place, we shifted focus to engagement and scalability. We built new outreach templates, introduced sequence automation, consolidated workflows by 28%, and trained nvisia’s Sales team on HubSpot best practices. This helped ensure the system stayed clean, usable, and aligned as activity ramped up. Their average marketing open rate increased to 8.9% (+16.9%), and marketing click-through rate improved to 6.9% (+0.8%). The sales team saw particularly encouraging results:

  • Sales reply rate increased to 3.2% (+61.7%)
  • Sales meeting rate improved to 0.5% (+95.7%)
  • Sales open rate rose to 33.2% (+55.6%)
  • Sales click rate jumped to 16% (+536.7%)

Most importantly (although more difficult to quantify), Sales and Marketing aligned on how HubSpot should be used. Our work eliminated confusion, reduced friction, and enabled nvisia’s team to manage their ecosystem confidently without constant outside support. In short, we made everyone’s lives a little easier.
